Upcoming Reporting Deadlines

New SUNY authorized charter schools that have not yet opened are required to submit the following reports and documents to the Institute. This list contains all important reporting requirements contained in the charter agreement, in law or New York State Education Department statute; however, the ultimate authority is either the law or charter agreement. These requirements generally pertain only to those that must be submitted to the Institute, so charter schools will have other requirements.
Planning Year
- Accountability Plan (Draft)
Schools must submit a draft of an accountability plan that establishes specific student achievement goals.
- Initial Statement of Internal Controls
Schools must submit a statement on the status of internal controls, and an evaluation and report from an independent accountant.
- Pre-Opening Checklist
New schools must complete and submit a checklist.
- Student Recruitment
Schools must complete a summary of student recruitment and marketing efforts.
- Tax-Exempt Status
Schools must obtain federal tax-exempt status.
Each School Year
- Annual Budget
Schools must submit an annual budget by June 30th.
- Annual Summary of Applications and Admissions
Schools must submit an annual summary of applications and admissions.
- Facilities Guidance
Schools must submit certain documentation before providing instruction in a new facility.
- Student Application Form
Schools must provide a student recruitment plan and the school application form each school year.
- Transportation Request
Parents of charter school students must submit transportation requests to the school district in which they reside.
As Necessary
- Board Trustees - New Trustees
In the selection of new trustees, the school and prospective trustee must submit documentation to the Institute for approval.
- Board Trustees - Removal or Resignation
A school must inform the Institute of the resignation or removal of a trustee within 5 days.
- Certificate of Occupancy
Schools should provide all permits and licenses to legally operate in facilities.
- Education Corporation By-laws
Education corporations must ratify by-laws within 30 days of the effective date of the charter, and must seek approval from the SUNY Board of Trustees to amend by-laws
- Enrollment Change
Schools must submit for approval all requests to modify the enrollment or grades served of the school.
- Management Agreement
Schools must provide the final draft of the management agreement with a letter from the school attorney, and a final agreement once executed.
- Programmatic Change
Schools must submit for approval changes to the program of the school.
- Receipt of Summons or Legal Complaint
Schools must provide written notification if the school corporation or any member of the school board receives a summons or legal complaint.
- School Director or Principal - Hiring or Departure
Schools must provide notification of the hiring or departure of the director or principal of the school.
- State Stimulus Fund (SSF) Grant Reporting
Recipients of State Stimulus Fund (SSF) grants must submit expenditures and other documentation.

Additional deadlines may also apply for materials submitted to other entities such as the New York State Education Department or as requested by the Institute on an as-needed basis.
